How to change the author name to track changes as another person

Sometimes you need to record new changes in the document that already has tracked changes made under your name. For example, people who have no possibility to make changes by themselves ask you to record their changes. Amendments made by different reviewers have different colors and are easy to find.

To add new tracked changes as another reviewer to the document, do the following:

1. Save all changes of the first reviewer (by default, by yourself):

Changes of the first reviewer in Word 365

2. On the Review tab, in the Tracking group, click the dialog box launcher:

Track Changes menu in Word 365

3. In the Track Changes Options dialog box, click the Change User Name. button:

Change User Name in Track Changes Options Word 365

4. In the Word Options dialog box, on the General tab, under Personalize your copy of Microsoft Office:

Personalize your copy of Microsoft Office in Word 365

5. Close Microsoft Word.

Make sure that there are no other opened Word documents on your PC or laptop.

6. Open saved document and make changes you need:

7. Save changes.

Note: Don't forget to revert the settings for the User Name and Initials fields for further work.

Protecting Word documents

When working with Word documents you often need to limit the changes to the document. E.g., contract form should prohibit changes to the text, while making possible to enter necessary data of the opposite side.

Compare two documents to find differences

When working with documents with co-authors, it is often necessary to compare two versions of the document. For example, if you forgot to block the ability to make changes to a document without tracking changes, after receiving an edited, agreed, or reviewed version of the document, you need to make sure that the resulting version of the document is identical to the original.
